ACARA (Australian Curriculum, Assessment and Reporting Authority)
Information collected: School Name, Calendar Year, Student ID, Grade of Student enrolment, Date of Birth, Sex, ATSI Statement, Students Main SLG, Parent/s: Schooling, Highest Non School Education, Occupation, Main SLG;
Make sure you are on the latest followup Version 2018.0.0.706 or higher
Step 1: Creating the file
Path: Scholastic > Subjects>Data Capture tab #6 Dept Educ(Aust)
Once the student information has been checked and verified you can create the ACARA File via
- [School number] type in
- [File Format] select from drop down
- [roll Return Date] type in Year you are working on
- Tick the boxes as per screen shot
- [Identify Year 7 as] select (if you are both primary & secondary select secondary and the system will ask you later for more information
- [File Name] click the drop down and save the file where you can access it
- [Preview]
Step 2: Select the [Error Log] tab and check for errors:
Step 3: Upon selecting ‘Complete’ the file
Creation to prompt the ACARA Key School Data screen to appear. You will need to ensure you enter the correct information for your school.
This will generate a CSV. You can then open the CSV, highlight the information and copy and paste into the template provided by the government.
To Enter/alter data - Freedom Schools
For the student information go to Freedom - Student/Caregivers Management and select the student you need to enter/alter.

For the student's ATSI statement and language you will need to go to the Origins Page.
NB: You may have language codes throw errors eg; saying they are not eligible codes. This is because the codes are changed by the government from time to time. There are over 2,500 languages listed and these are being added to constantly. Because of this you may need to contact PCSchool to update a code.
For the Caregiver information go to Freedom - Student/Caregivers Management and select the Caregiver's student. Click on the Caregiver tab to enter/alter the School Education, Non-School Education and Occupation Category.
Then Save.
Go to the Caregiver's Origins page to update the Caregiver's Language.
Enter the Caregiver's main language under #1 code and save.
To Enter/alter data - Non-Freedom Schools
For the student information go to Administration - Student View and select the student you need to enter/alter.
For the basic student information please view the screenshot below
For the student's ATSI statement and language you will need to go to the Origins section on the same page.
It may be necessary, from time to time, to run a process to update the Ethnic Group. This is found under Administration > Year End - Housekeeping. Don't let the 'year end' bit alarm you.
For the Parent Education and Occupation information go to Administration > Student View > Family Misc > Family User Defined
For the Parent language information go to Administration > Student View > Family Misc > Family Ethnicity
