Introduction
Through the Spider staff can now record student behaviour and notes that follow a set workflow of notifications and actions. This document explains how to set up new behaviour management based workflows that allow:
- Teachers to enter behaviour information in an easy, streamlined way
- Pre-defined sets of actions, so everyone know what is next
- Reminders - so that staff are informed of any behavioural actions not completed (no-one falls through the cracks)
The Behaviour with Workflows control allows you:
- Flexibility to create any number of specified behaviour based on the four behaviour types
- Provision to expose only required fields and fully customise the field names
- To define the number of merits and demerits (if used)
- To set different actions based on different events

Prerequisites
Predefined codes are used in the Behaviour module. These are drawn from the Maintenance Code files and include the following.
These of course can be added to but be aware that 'less is more' in most cases.
Enabling Caregiver email notification (in Freedom)
In order for Caregivers to receive Behaviour Emails they must be set up under Freedom Student & Caregiver management > Communication> Student Based and settings are under 'Student Specific'.
Behaviour Workflow Setup
The workflow setup controls will only be visible if the person logged in has the necessary rights (Behaviour Notes with Workflow [429]).
The Workflow control can be accessed via the 'Setup and Utilities' menu, the home 'Search' menu or can be added as a favourite to the user's Spider desktop.

Creating a new Workflow
Once you have opted to 'Add New Workflow' you will be taken automatically to the next screen.
Please take note at the top of the screen you have several tabs. While you were taken automatically to the first tab (Type) you will now need to click on each tab to progress through the creation of the workflow.

Behaviour - (Customising the behaviour)
In this screen select which fields/column to include in the workflow.
If you put a caption for a column, that column will be visible to the users to input behaviour. If you leave the caption blank the column will not appear. You can put anything for the caption as long as it is relevant (ie: under the heading 'Motivation' you may wish to enter the word 'Reason' instead).
Actions - Managing Actions
In this screen define what you like to call the “Action” as, and customise the visibility of columns and its descriptions. Like Discipline, only the columns that have got a caption will be visible to users.
You can enter any number of predefined actions for a discipline. For e.g.: “Action 1” might be “Report to Caregivers”, “Action 2” might be “Negotiate with Student”
Defaults - Managing Defaults
In this screen set the default values for the pre-selected fields (selected in ‘Customise Behaviour’ and ‘Manage Actions’ screens) and set whether the value is changeable by the user. For example when we say “Reporting Teacher” we can have it default to the teacher entering the information, or pre-set the number of “Demerit Points” associated with the action.
Codes - Managing Maintenance Codes
If you have selected to include columns (in ‘Customise Behaviour’ and ‘Manage Actions’ screens) that source the values from the Maintenance Codes, you can set the default values to be used here.
Events - Managing Events
With this screen we can define “what should happen when the information is created or saved in Behaviour or Action”, “whom should be notified”, “what email template is to be used” etc.

Upon saving you will notice that the new role will appear in the list on the left hand side

Within this screen we can define what is to be done if the actions are not completed in time.
