Below are the instructions on how to fix Cross-Linked Identities, if any of the identities in the list provided by the pre-Freedom check need to be separated into unique identities.
If the identified record is a single record and does not need to be split, you will need to ensure the correct data is held in the data table identified as the 'SOURCE OF TRUTH'.
If you are unsure how to address the issue, please contact the PCSchool helpline.
In some cases, the unique identifier (member#) for a person can be cross-linked with another record. This may happen with your older identities in PCSchool where a teacher and a student may have been assigned the same # and when brought into identity later when this was introduced to the program, these two merged due to the same # being assigned in their respective student/staff tables.
To resolve this we need to assign a new member# to one of the identities.
IMPORTANT: should one of the identities be a STAFF always assign the new number to the other identity. Teachers/Staff should always retain their original member# as this has implications in the payroll module.
Cross-Linked identities are being identified as part of the Pre-Freedom conversion checks.
You must have access to the Utilities > Identity Management in the Scholastic module (Back Office) to reassign the member#:
The cross-linked identities have to be fixed one by one:
- select the first cross-linked identity as shown in the Pre-Freedom Check list
- tick which records should have a new member# assigned
- IMPORTANT: should one of the identities be a STAFF always assign the new number to the other identity. Teachers/Staff should always retain their original member#
- select 'Re-assign' to save the change
Repeat the process for each identity on the list.
